Social audit was inquired by 3rd part API on 30th Jun

ICS CODE

On 30th June, Social audit was performed in unannounced way by API (Asia Pacific Inspection – Audit Branch), which means we didn’t know the accurate date for audit.

With the aim of enhancing and further commercial relations(shower enclosure & bathroom cabinet) with DIY giant LEROY MERLIN, We was audited by API with their corporate social responsiblities requirements based on key proceciples of ICS (ICS code of conduct).

PS: ICS code was recognized by European company, such as 3 Suisses, Adeo groupe, Auchan, Bizzbee, Brice, Carrefour, Casino, Club Méditerranée, ColruytGroup, Conforama, Cora, Galeries Lafayette-BHV, Jacadi, Jules, Monoprix, Okaidi, Oxybul Eveil et Jeux, Pimkie, Sourcing & Création and Système U

The review covered such subjects as Child Labour, Forced Labour, Discrimination, Disciplinary Practices, Freedom of Association, Working Hours & Overtime, Remuneration & Benefits, and Health & Safety.

Key activities and check-up conducted by API staff during the audit is the following:

  • Opening meeting with the factory management to validate the information provided before the audit through the Factory Profile (duration: 30 minutes/ presentation…)
  • Site tour observations to assess actual working environment and working practices
  • Workers and staff interviews, in focus groups and individually, in strict confidentiality
  • Checking of documents and records to provide objective evidence of compliance or non-conformity with requirements
  • Pre-closing meeting among the audit team in order to prepare the closing meeting
  • Closing meeting with the factory management (same people who attended the opening meeting already) to discuss and agree upon a Corrective Action Plan

Below is the list of documents which was required and checked.

General

  1. Organization chart
  2. Employment site layout / floor plan
  3. Business license (Original)
  4. Companies policies (included but not limited to child labor, discipline, discrimination and harassment, health & safety, etc)
  5. Procedures (e.g. recruitment, complaints and disciplinary procedures)
  6. Previous social audit reports / Corrective Action Plan Report

Labor management

  1. Recruitment advertisement
  2. Employment contracts (all staff including for security staff)
  3. Roster
  4. Personnel records
  5. Employee handbook
  6. Merit and demerit system/ record
  7. Labor union certificate (if applicable)
  8. Worker representatives list and meeting minutes and election record (if applicable)

Health and Safety

  1. Training record (include Occupational Health and Safety)
  2. Hazardous chemical list
  3. Chemicals inventory list
  4. MSDS for chemicals
  5. Injury/accident register ( within2 years)
  6. Occupational health checks (if applicable)
  7. Inspection report from Hygiene authority against air, noise in the workshop
  8. First aider certificate/ First aid training proof
  9. Emergency action procedures
  10. Evacuation plan
  11. Fire drill records
  12. Firefighting equipment list and inspection record
  13. Minutes on joint committees on health and safety
  14. Canteen hygiene license and staff health cards
  15. Special equipment registration / annual examination record
  16. Special equipment operator permit/ certificate (including electrician)

 Fire prevention and construction safety (*)

  1. Real estate certificate
  2. Fire inspection record
  3. Final registration form of firefighting acceptance for the completion of construction project
  4. Final registration form of the construction project completion
  5. Report acceptance inspections for the completion of construction project

Working hours and remuneration 

  1. Piece rate production records (past 12 months)
  2. Time card /attendance records (past 12 months)
  3. Comprehensive working hours system waiver (if applicable)
  4. Payroll records (past 12 months)
  5. Wage list with employee signatures as verification (past 12 months)
  6. Payment of social insurance, name list of involving social insurances and social insurance registration certificate/ insured approval
  7. Production records

The result of the audit can be released in 5 work days.

Update on  2022/7/6:

We received the audit report from API. The result is LEVEL B which is high score to comply with the ICS code and cusomter’s requirement. It means our factory is producing shower enclosure and bathroom cabinet with healthy,  sunny, transparent conditions. Which could be completely recognized and trustable in global market.
